Some things that fall under these two broad functions include job costing, allocations and currency management. Common Computer Terms

For those of us who are versed in the use of computers, these simple terms that apply to computer technology may seem insignificant. But it is a fact that sometimes even the most experienced ones among us tend to ‘forget’ the meaning of some terms normally used in conjunction with computers. Though this article is really meant for newbies, we can all still benefit from its contents:

Computer Literacy: As long as you know something about computers, you are said to be computer literate.

Cyberphobia: The fear of learning and using new types of technology, even computers.

Hardware: The physical computer itself and its other physical components.

Software: Programs that are used on the computer, like the Operating System (Windows, Mac, Unix, Linux).

Bit: Either 0 or 1 (both are bits)

Byte: A group of bits that represent a number, letter, or special character. 8 bits = 1 byte. When you think of bytes, think of storage. For example, you have kilobytes (1,000 bytes), megabytes (1,000,000 bytes), gigabytes (1,000,000,000 bytes), terabytes (1,000,000,000,000 bytes), and so on.

Encoding Systems: This is used by computers (each computer has its own encoding system) to convert any character that is input into it so that it can bve understood by the machine. Some types of Encoding Systems are ANSI, ASCII, and EPSI.

Control Unit (CU): This fetches instructions, directs the operation of internal commands, and issues commands that run the computer. It basically controls the processor.

Arithmetic and Logic Unit (ALU): It does all the mathematical calculations and arithmetic and logic operations.

Registers: These are high speed storage areas.

Cache: This is memory that allows the computer to load software much quicker.

Random Access Memory (RAM): This is the area that temporarily stores data. The size varies from kB (kilobytes) to TB (terabytes).

The next article in line will discuss how to deal with common PC problems.

Anti Virus Programs

Many people are quite concerned about the prevalence of viruses on the internet nowadays. Their concern is not over-rated as there are so many viruses out there that are being developed at an alarming rate that even the antivirus software vendors have a hard time keeping up. File Compression – Use Less Space

There are many times when persons have files on their computers that are taking up a lot of space. I am quite sure that there have been times we all wished that we had more space at a particular moment when we needed to save an important file or save something else to our hard drives. This could be late in the night when all the stores are closed and ordering online would not result in you getting another hard drive turning up at your door in a few minutes. Or it could be that you do not have the ‘disposable income’ to go out and purchase another hard disk. So, the question beckons: What are you going to do to give you more space at the moment that you need it?

The simple answer to that question is File Compression. Or, as some people refer to it, File Zipping or File Archiving. One good thing about file compression is that it is quite easy. I am sure you have heard about programs like WinZip, WinAce, and 123Zip, among others. For the most part, these are freeware programs. Others are shareware while others have to be paid for after a trial period so as to ensure that they continue to work. No matter which type of compression program you choose, they are quite user friendly. My personal favourite over the years has been WinZip. It has a nice user interface and handles just about any size file.

Now, back to your computer with limited space. Let us say that you have a 40 Gig hard drive that has its space reduced to about 3 Gigs. You have a document that is about 3.5 Gigs big (remember these are all hypothetical figures) that needs to be saved. Now, let’s say that you have some files that are not really used (files that you want to keep) but are just sitting there on your hard drive. A quick solution to free up some space is to use a file compression utility to ’squeeze’ some of the ‘juice’ out of those files. Zip them up, saving them where you can remeber to find them. After your files have been compressed, simply delete the original files (uncompressed files) from your hard drive. Voila! You have more space that will allow you to save your 3.5 Gig file in just a few minutes.

One thing to keep in mind is that each file compression utility compresses files at different ratios. For example, you may have 30 Mb worth of files to compress. If you use WinZip, it may compress the files to about 25% of the original size, i.e. 7.5 Mb. If you use WinAce, it may compress the files to 10 Mb, roughly 33% of the original file size. The important thing to do when searching for a File Compression Program is to check out the description of the software and read the help files so as to get an idea of how well it works. When you have checked out a few of them, you will be able to make a more informed decision as to which one to get.

As I said earlier, I have been using file compression utilities for many years now. I have seen the benefits and disadvantages of many of them. And I will continue to use them. The less space files take up on your hard drive is the more space you have to save your work. Even when uploading or downloading, the smaller the file is the quicker it transfers.

Here a few File Compression Utilities I have used in the past and still use to an extent today:

WinZip
WinAce
PKWare
PowerZip
WinRAR
Alpha Zip
7-Zip

All the best with your file compressing. Oh, by the way a quick note: The same programs that you use to compress your files are usually able to decompress the files when you are ready to use them.

Windows Longhorn (Vista)

I have been hearing about Windows Longhorn for the longest time and to this day have not heard of a release date for the new Operating System. Well, it is now known as Windows Vista and recent checks indicate that it is due to be released sometime during 2006. Below is a brief summary about Windows Vista as taken from the Microsoft Development Network:

Windows Vista™ (formerly Windows code name “Longhorn”) is a substantial advance in Windows, with significant innovations in the developer platform. Windows Vista makes it easier than ever before to build applications that are more secure, reliable, and manageable. Windows Vista also enables developers and designers to create user-experience breakthroughs that improve usability and enable greater relevance to the work users do. Finally, Windows Vista makes it easy to connect to information, systems, people, and devices though a number of innovative integration technologies.

With all that being said, I truly hope it is as truly a hype as it is being portrayed to be. Personally, Windows OS are easy to use and each advance of it has gotten better (well, Win ME and XP did give me a lot of problems especially when it came to the “blue screen of death” and their compatibility with certain hardware – scanners more specifically – that I did not have with Win 95 and 98). Now, I use Windows 2000 which does not give me any problems.

All we can do right now is sit back and wait to see how well Vista plays out. I am looking forward to getting my own copy as soon as it comes out so as to test it for myself.
